Once Upon a Bus is committed to protecting your personal data and respecting your privacy. This short notice explains how we collect, use and look after your information in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

What personal data we collect
We may collect:
- Name, email address, postal address and telephone number (when you enquire, book or contact us)
- Payment details (viewed only to process bookings; not stored by us)
- Technical information such as IP address, browser type and device details when you visit our website
- CCTV images on the bus (see below)
How and why we use your data
We use your data to:
- Respond to enquiries and manage bookings
- Provide our storytelling services
- Improve our website and services
- Comply with legal obligations
- Protect the safety of children, staff and visitors
Our lawful bases are: performance of a contract, legitimate interests (running and improving our service), legal obligation, and consent where required (e.g. marketing or testimonials).
CCTV on the bus
CCTV operates only when the bus is connected to an electrical supply or generator (not while moving). Images are stored for one week and then automatically overwritten. They are used solely for safeguarding purposes and can only be accessed via the physical hard drive. Clear signage is displayed.
Sharing your data
We do not sell your data. We only share it when necessary (for example with payment processors, or if required by law). We do not transfer your data outside the UK.
How long we keep your data
We keep personal data only for as long as needed for the purposes above, or longer if required by law (e.g. accounting records). CCTV footage is overwritten after seven days.
Your rights
You have the right to:
- Access the personal data we hold about you
- Ask us to correct inaccurate data
- Ask us to delete your data (in certain circumstances)
- Restrict or object to processing
- Data portability
- Withdraw consent at any time (where we rely on consent)

If you are unhappy with how we handle your data, please contact us first. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk
Children
Our services are designed for children accompanied by responsible adults. We take extra care with any data relating to children and use CCTV only as a safeguarding measure.
